New Member Onboarding
New members join in two tracks — scouts and their families, and adult volunteers — each with its own checklist below. The Membership Coordinator owns onboarding end to end for both, calling on the Treasurer, Medical Records Coordinator, Committee Secretary, Advancement Coordinator, and Training Coordinator as each piece comes up.
Get new members into the program as fast as possible. None of this should gate someone from jumping into meetings and outings right away — work the checklist in parallel with their showing up, not as a prerequisite to it.
New Scout and Family Checklist
Section titled “New Scout and Family Checklist”The Membership Coordinator owns this checklist, from the point a family joins to the point every piece below is complete.
- Registration. Apply online.
- Dues. See Troop 1607 Membership. Collected by the Treasurer.
- Medical form. An AHMR with Parts A and B, submitted to the Medical Records Coordinator.
- TroopWebHost account. Set up by the Committee Secretary.
- Handbook, uniform, and personal gear. The family buys these; point them to Handbook and Uniform and Camping Equipment. The Troop Uniform Exchange (ask the Troop Quartermaster) covers hand-me-downs.
- Class B shirt and patches. Every new scout gets one free Class B shirt plus their patches; handled by the Advancement Coordinator.
- Troop merch. Additional Class Bs and other troop merch are self-service — no coordinator involvement needed.
Only personal gear and a submitted medical form are required before a scout can camp. Everything else can happen in any order, and shouldn’t hold up the scout from jumping in.
New Adult Volunteer Checklist
Section titled “New Adult Volunteer Checklist”The Membership Coordinator owns this checklist, from the point an adult decides to volunteer to the point they’re fully registered and trained.
- Registration. Apply online. This can be started before Safeguarding Youth Training is complete, but the troop can’t accept the application until it is. The Committee Secretary takes it from there through background check clearance.
- Safeguarding Youth Training. See the Training Coordinator page.
- Position-specific training. See the Training Coordinator page.
- If they intend to camp: an AHMR with Parts A and B, submitted to the Medical Records Coordinator, and the Parent Camping Guidelines.
